Archiving Attachments – Mail-Meter

As part of a space and storage saving effort the UF Exchange Team has implemented MailMeter. This feature will allow you to access your large email attachments (larger than 5 KB) from a location outside of your mailbox by following a link within the message. This is also called archiving or stubbing.

MailMeter will be applied to all UF Exchange email accounts and will only apply to attachments older than 30 days. The full implementation of MailMeter is expected to take 1-2 months.

To use MailMeter you click and follow the link within the body of your email message to the attachment of your choice. In addition, MailMeter supports Mozilla Firefox and Safari, but it is the recommendation of the UF Exchange team that you use Internet Explorer and Outlook (2007/2003 or Outlook Web Access).

Using Mail-Meter

Step 1
Within your Outlook mailbox or Outlook Web Access click on the message with your attachments.

Step 2
Once you have selected the email message that you would like to retrieve the attachments from, click on that message to open it up. An icon will appear in the message (Red Box) stating “The attachments in this message have been placed in an archive to conserve space on the email servers.” To access your attachment click on the link under the message (Green Box) and you will be redirected to your attachment. (Note: The red and green boxes are not on the icon itself.) HTML or RTF Message.

Step 3
After clicking on your attachment you will be redirected to the attachment. If you have an active web browser (Internet Explorer or Mozilla Firefox) or a default internet browser you will see the following messages.

Step 4
The first message is informing you that you are about to download your attachment and that you can click on the link within the message to access the content. The second message is the automatic feature that allows you to access the message by clicking OK.

Step 5
Once you have clicked ok the attachment will open in whatever format you have specified. The two messages above will close and you will be able to view the attachment that you specified.

Step 6
If your message is in plan text, MailMeter will present the image in a plain text format and have your attachment as a link within your email. Plain Text

Step 7
When clicking on the link within the email it will repeat steps 3 and 4.

 

Mail-Meter with Outlook Web Access (Light or Standard) (Using Internet Explorer)

Step 1
Start Internet Explorer and go to mail.ufl.edu

Step 2
Then go to “Outlook Web Access and sign in with your username and password

Step 3
Find the email and attachment that you want to access and open the email

Once you click on the attachment, a window will open prompting you to download the attachment

Based on your Internet Explorer security settings you will need to either allow your computer to download the attachment or wait for the attachment to load. (Your departmental IT Support can inform you of the restrictions in your department)

You will then be prompted to download or open your document. Depending on your need you can either Open or Save the attachment.

MailMeter with Outlook Web Access (Using Mozilla Firefox or Safari)

Step 1
Start Internet Explorer and go to mail.ufl.edu

Then go to “Outlook Web Access and sign in with your username and password

Step 3
Find the email and attachment that you want to access and open the email

Step 4
Once you click on the attachment, a window will open prompting you to download the attachment (Unlike Internet Explorer, your windows will all be minimized to show the document tabs)

Step 5
Click Ok to access the attachment

Step 6
Once you have clicked ok you will need to resize your Mozilla Firefox or Safari window in order to see your full inbox.
