Quota Management

User mailboxes have assigned quotas that will be based on usage.

Unless you attempt to import large .pst files, you should not experience an over quota condition. The mail quotas are adjusted nightly based on mail usage. If you need to import large amounts of mail, contact your unit’s mail administrator.

Storage Quotas error messages:

  • Issue Warning – 80%
  • Prohibit Send – 90%
  • Prohibit Send & Receive – 100%

Mailbox attachments less than 30 days will be immediately available on the mail server. Mailbox attachments received more than 30 days ago will be available on the attachment archive storage with a few second delay for retrieval.

Tracing Email Paths for Bounces, Missing Mail

If you are experiencing bounced mail, missing mail or mail that was not received by your intended receiver, contact your Local IT support. Your unit’s email administrator will need an example of the mail with full headers (to view headers in Microsoft Outlook right-click message>Message Options>Internet Headers content) and the problem details including time sent or received, copy of bounced messages, etc.

The following is the flow of email for mail in UF Exchange.

Inbound Messages Flow:
– Sender – SMTP.UFL.EDU – Proofpoint – Exchange Mail Transport Server – Exchange Mailbox Server – Recipient

Outbound Message Flow:
– Sender – Exchange Mailbox Server – Exchange Mail Transport Server – SMTP.UFL.EDU – Recipient

Internal Server to Server Message Flow:
– Sender – Exchange Mailbox Server – Exchange Mail Transport Server – Exchange Mailbox Server – Recipient
